Refund policy
Last updated: 8 October 2026
Short version: you can cancel any time, but payments aren't refunded. When you cancel, your plan keeps working until the end of the period you've paid for. You can try FiveApply for as long as you like on the Free plan before paying.
1. Cancelling
- Cancel from Billing → Invoices & payment method in your community's dashboard, which opens the Stripe billing portal. Only people with billing access (the owner, by default) can do this.
- Cancelling stops the next renewal. Your paid plan stays active until the end of the current monthly or annual period, and then the community moves to the Free plan.
- Nothing is deleted when you cancel. If the community has more open forms than the Free plan allows, the newest ones are closed (not deleted) and can be reopened if you upgrade again.
- Deleting a community doesn't cancel its subscription by itself. Cancel in Billing first.
2. No refunds
Monthly and annual payments, including renewals, are non-refundable. We don't give refunds or credits for partial periods, unused time, unused limits, or for downgrading or cancelling part-way through a period. Annual plans are already discounted (you pay for ten months and get twelve), so they aren't refunded pro-rata either.
When you change to a different paid plan part-way through a period, Stripe charges or credits the difference automatically. That's an adjustment to your next invoice, not a refund.
3. When we will refund
We'll refund, in full or in part, if:
- we charged you by mistake, for example a duplicate charge or a charge after you had cancelled;
- the service was unavailable or seriously broken for a significant part of a billing period because of a fault on our side;
- we close the service, in which case we refund any unused prepaid time; or
- the law requires it.
Refunds go back to the original payment method through Stripe. Your bank may take 5–10 working days to show them. We don't give refunds when a community has been suspended or a subscription ended because of a serious breach of our terms.
4. Your legal rights (consumers)
If you're a consumer in the UK or EU, you normally have 14 days to cancel an online purchase. Because FiveApply is a digital service that starts as soon as you pay, by subscribing you ask us to start the service immediately, and you agree that you lose this right to cancel once it has started. Nothing in this policy affects your other statutory rights, for example if the service isn't as described.
5. Chargebacks
If you think a charge is wrong, please email us before disputing it with your bank. We can usually sort it out faster. Disputed payments are reviewed by our team.
6. Asking for a refund
Email support@fiveapply.com or open a ticket in the help centre within 30 days of the charge. Tell us the community's address and the date and amount of the charge. We'll reply within 5 working days.
