Who we are

FiveApply (fiveapply.com) provides application and staff-review software to FiveM roleplay communities. For applicant data, each community is the data controller and FiveApply acts as their data processor. For community owners' and staff accounts, FiveApply is the controller.

What we collect

  • Discord account basics — ID, username, display name, avatar, and the account creation date (derived from the ID). We request only the identify, email and guilds.members.read scopes.
  • Email address — your verified Discord email, used only to send replies to support tickets you open and important notices about communities you run. Never shared with communities and never used for marketing.
  • Support tickets and reports — what you write to us, screenshots you attach, and reports you file. Closed tickets and resolved reports are deleted after 12 months.
  • Server membership — whether you're in a community's Discord server and when you joined, read at the moment you apply.
  • Your answers to a community's application form. Age questions store your age only, never your date of birth.
  • Game identifiers (Essential and Pro communities using our FiveM resource) — Cfx license identifiers seen when you connect.
  • Operational logs — IP addresses are hashed in audit logs; answer contents are never written to logs.

Children

Many applicants are under 18. Communities set their own minimum ages. We minimise what we collect, never sell data, and do not use applicant data for advertising.

Retention

Denied and withdrawn applications are automatically and permanently deleted after the period each community configures (default 90 and 30 days). Drafts are deleted after 30 days of inactivity.

Your rights

You can download all your data or permanently delete your account and applications at any time from Privacy & your data. You can also contact the community that received your application, or us at support@fiveapply.com.

  • Our hosting provider and, if enabled, Sentry (error monitoring)
